NEO Exec TAq Services Specialist
Introduction to role:
Are you ready to drive a first-class onboarding experience? As a NEO Exec TAq Services Specialist, you'll work closely with local HR, TAq Partners, Talent Scouts, and HR Services Teams to provide efficient administrative support. Your role will focus on right-to-work compliance, immigration guidance, and orchestrating New Employee Orientation events. Accountabilities:
Right to Work & Immigration Process Guidance:
- Pre-day 1: Provide immigration process guidance to TAq, HR Services, and new joiners by partnering with our external immigration partners to drive compliance and mitigate risk.
- Pre-Day 1: Ensure all new starters are right-to-work compliant and all documents and data are accurately keyed into Workday in line with country immigration legislation.
On-Boarding and New Employee Orientation:
- Act as the main point of contact and process specialist for new joiners, hiring managers, Talent Acquisition Partners, Talent Scouts, and HR Services Teams.
- Support hiring manager new joiner briefing sessions to ensure they are fully prepared and complete all onboarding activities pre-day 1.
- Collaborate with WFD and IT to ensure PRID, email, and IT kits are set up and ordered timely.
- Ensure new joiners receive day-1 joining instructions for Welcome Session and New Employee Orientation events.
- Order and distribute new joiner welcome boxes.
- Coordinate logistics and planning for the day-1 New Employee Onboarding Day: booking rooms or external venues, equipment, hospitality, managing new joiners, and partnering with senior leaders for hosting and presenting.
- Manage TAq Services cases related to your role scope via the Service Now system.
- Partner with other expert functions within HR and HR Services to ensure a first-class onboarding experience for all new joiners.
- Own the content and format for the NEO Review Sessions, working closely with contributors from IT, TAq, HR, Fleet, Facilities, and NEO presenters to ensure materials are current and compliant. Host quarterly sessions to review content and format, exploring feedback for improvements.
- Collaborate with Global TAq on wider onboarding topics and contribute to local and global projects.
- Drive continuous improvement locally and within the wider HR Services Teams.
- Contribute to TAq Services and HR | HR Services projects.
- Work closely with wider NEO Exec TAq Services Team members across Europe and the Americas to promote teamwork, collaboration, and continuous improvement.
Essential Skills/Experience:
- Bachelor's degree or equivalent experience in HR (2-3 years).
- Demonstrated ability to approach problems from various angles, showcasing a versatile and analytical problem-solving skillset.
- Capacity to navigate complex challenges and implement effective solutions.
- Strong verbal and written communication skills.
- Confidence to communicate effectively with senior stakeholders.
- Ability to host and present clearly and confidently (virtually & in person).
- Ability to convey complex information in a clear and understandable manner, facilitating effective communication.
- Commitment to propagating a speak-up culture within the TAq Services team and the organization.
- Encourages open communication, feedback, and collaboration, fostering a positive and inclusive work environment.
- Proficient planning and decision-making skills.
- Capable of making informed and strategic decisions to ensure the smooth delivery of a first-class onboarding experience.
- Demonstrated ability to adapt to changing circumstances and priorities.
- Flexibility in approaching tasks and responsibilities, with the capacity to adjust to evolving requirements.
